
About the Role
The Technology & Systems Manager will play a critical role in managing and optimizing SOFtoSOM’s technology infrastructure. This individual will oversee Microsoft 365 administration, process automation, and workflow efficiency to ensure the organization is leveraging technology effectively. They will also develop training materials and best practices to improve team productivity, security, and digital collaboration.
Requirements
KEY RESPONSIBILITIES
Microsoft 365 Administration: Manage user accounts, permissions, and integrations across Teams, SharePoint, OneDrive, and other M365 applications.
Process Automation & Optimization: Identify, implement, and maintain Power Automate workflows, Forms, and Planner integrations to streamline operations.
Technical Support & Training: Provide ongoing support and training for staff and volunteers to maximize Microsoft 365 functionality and address IT-related challenges.
Security & Data Management: Ensure compliance with cybersecurity best practices, data governance policies, and access control measures to protect SOFtoSOM’s digital assets.
Documentation & IT Best Practices: Develop quick reference guides, training materials, and workflow documentation to ensure consistent technology adoption across the organization.
Strategic IT Planning: Assess current technology usage, propose improvements, and guide SOFtoSOM in leveraging digital tools for operational growth.
QUALIFICATIONS
Strong knowledge of Microsoft 365, including Teams, SharePoint, OneDrive, Power Automate, and Planner.
Experience with IT administration, user management, and workflow automation.
Understanding of cybersecurity principles, data management, and digital security best practices.
Ability to develop training materials and process documentation for non-technical users.
CERTIFICATIONS (Preferred but not required)
Microsoft 365 Certified: Fundamentals (MS-900)
Microsoft 365 Certified: Enterprise Administrator Expert
Other relevant IT certifications in automation, cloud services, or security.
EDUCATION (Preferred but not required)
Bachelor’s degree in Information Technology, Computer Science, Cybersecurity, or a related field OR equivalent professional experience.
PREFERRED EXPERIENCE
Experience working in a nonprofit or volunteer-driven organization (Preferred).
Previous experience implementing or managing Microsoft 365 intranet, collaboration tools, or automation workflows (Preferred).
Experience with Power BI, CRM systems, or cloud-based IT solutions (Preferred).
TIME COMMITMENT
Estimated 6-8 hours per week, with flexibility depending on project needs.
Attendance at monthly/quarterly staff meetings (Required).
Available for occasional troubleshooting and urgent IT support as needed.
DELIVERABLES
Audit and optimize SOFtoSOM’s Microsoft 365 setup within the first 90 days, including an assessment of security, access control, and workflow efficiency.
Implement at least two workflow automations (e.g., Power Automate, SharePoint integrations, Planner task automations) within six months to improve team productivity.
Develop a SOFtoSOM-specific IT Best Practices Guide, covering:
Automation & Workflow Efficiency – How to use Power Automate, Teams, and SharePoint to streamline daily operations.
Collaboration & Document Management – Best practices for sharing, storing, and organizing files within Microsoft 365.
Security & Access Control – How to manage permissions, protect sensitive data, and ensure compliance with security best practices.
Create quick reference guides and training materials for staff and volunteers on key Microsoft 365 tools and automations, including step-by-step instructions for commonly used workflows.
Provide references to industry best practices, including:
Microsoft 365 Security & Compliance Frameworks
Power Automate Documentation
IT Governance Guidelines
Cybersecurity Frameworks (NIST, CIS Controls, etc.)
